Public information about how we use personal information

Who we are

The Saint Georges Cup (SGC) is an independent organisation responsible for organising and administering the Saint Georges Cup competition and associated activities. SGC is the data controller for personal information where it decides why and how that information is used.

What information we may hold

Depending on your involvement with SGC, we may hold:

  • your name, county and competition/selection information, including availability;

  • contact details where needed for Committee, Captain, player or potential-player communications;

  • photographs and video from SGC events;

  • names connected with donations, sponsors, businesses and supported charities;

  • expense and payment records where relevant;

  • complaint, disciplinary or Code of Conduct information where a matter arises;

  • safeguarding information where a safeguarding concern is reported; and

  • historic competition information such as names, results, statistics, winners and event photographs.

SGC does not routinely collect competitors' medical information, dietary requirements or emergency contacts. Competitors are expected to carry their own ICE information.

Why we use it

We use personal information to organise and administer the competition, select and communicate with players, maintain results and the historical record of the event, publish appropriate photographs and promotional material, administer fundraising and finances, manage complaints or disciplinary matters, fulfil safeguarding responsibilities and operate SGC's governance and website.

Our lawful bases

Depending on the purpose, we may rely on legitimate interests, contract, legal obligation, vital interests or consent. Our legitimate interests include running and governing SGC, communicating with people involved in the competition, maintaining the sporting history of the event and promoting SGC in a fair and proportionate way.

Photography, video and historical records

Photography and video form part of the established record and promotion of the Saint Georges Cup. We may publish appropriate event images on our website, social media and promotional material where we have an appropriate lawful basis. We will make participants aware that photography or filming may take place.

Names, results, statistics, winners and appropriate historical photographs may be retained long term or permanently as part of the competition's sporting and historical record.

Children and young people

Under-18s may participate. We apply additional safeguards to children's information and will use an appropriate under-18 information and consent process covering the information required, participation and photography/video arrangements.

Where information is stored

Our main electronic records are held in a dedicated SGC Dropbox account. Access to main organisational files is restricted according to role. Safeguarding records have more restricted access. Some authorised SGC information may also be held in email, on banking services, or temporarily on the personal devices of Officers or Captains where necessary for their role.

Who we share information with

We do not routinely provide player personal information to venues, hotels, charities or sponsors. We may share information where necessary with service providers that support SGC, banking providers, insurers, professional advisers, safeguarding organisations including ESMBA where an external safeguarding route is appropriate, or police, social care and other statutory authorities where required.

If you follow a link from our website to an external service, such as an external fundraising service, information you provide directly to that service is handled under that organisation's own privacy arrangements.

Website and cookies

Our website is hosted on the Wix platform. It uses essential cookies and similar technologies needed for the website to operate and may use optional functional, analytics or other technologies. We use a cookie consent banner so visitors can make choices about non-essential cookies. More information is available in our Cookie Policy.

How long we keep information

We keep information only for as long as reasonably required for the purpose for which it is held, taking account of governance, safeguarding, financial, insurance, legal and historical needs. Working contact, availability and selection information is reviewed when no longer required. Competition results, statistics, winners and appropriate historical photographs may be retained permanently as part of the SGC archive.

Your rights

Depending on the circumstances, you may have rights to ask us for access to your personal information, correct inaccurate information, request erasure or restriction, or object to certain uses. Where we rely on consent, you can withdraw that consent.

Complaints

If you have concerns about how SGC handles your information, please contact us first so that we can try to resolve the issue. You also have the right to raise a concern with the Information Commissioner's Office (ICO).

Changes to this notice

We will review this notice when our activities, systems or use of personal information materially change.
